We are seeking a highly organised and detail-driven Administration & Accounts Assistant for our client, a busy body corporate and property management company in Tauranga.

The Role

This position will suit someone who enjoys responsibility, thrives in a structured environment, and takes pride in accuracy, organisation, and client service.
 
Administration Support
  • Liaise with clients, suppliers, and key stakeholders
  • File and manage client documents according to company procedures.
  • Answer inbound enquiries via phone, email, and in person
  • Prepare and update Standard Operating Procedures (SOPs)
  • Attend buildings for utility reads or other property-related matters when required
  • Assist with AGMs and meeting documentation, meeting setup, and minute taking (some meetings may be outside business hours)
 
Accounts Support
  • Receive, code, and enter supplier invoices and follow up invoice queries
  • Batch invoices for approval and issue to committees/chairpersons
  • Assist with management of the Professional Trust Account (with support initially, then independently)
  • Migrate client accounting transactions and contacts during new client onboarding
  • Daily and month-end reconciliations of client and trust accounts
  • Reconcile deposits, manage overpayments and credit notes
  • Maintain daily time management and resource tracking sheets
  • Capture additional billable activities for client invoicing
What We’re Looking For
  • Relevant tertiary qualification in accounting or 2–3 years’ practical accounts experience
  • High level of competence with Xero and Microsoft Office, particularly Excel
  • Strong attention to detail and accuracy
  • Ability to manage sensitive information with discretion
  • Well organised, reliable, and methodical with a professional approach
  • Strong communication skills and ability to build positive client relationships
  • Ability to prioritise workloads and meet deadlines
